What we collect, why, who we share it with, where it is held, how long we keep it, and what you can require of us.

Isha Kapoor Immigration Consulting Inc. is responsible for personal information in our custody or control. We are subject to Canada's Personal Information Protection and Electronic Documents Act and Alberta's Personal Information Protection Act. Isha Kapoor is a Regulated Canadian Immigration Consultant, licence R1040882, and is additionally bound by the confidentiality obligations of the College of Immigration and Citizenship Consultants.
Isha Kapoor acts as our Privacy Officer.

Write to us about any question, request or complaint under this policy. We respond within 30 days, and tell you in advance if we need longer and why.
Name, email address, telephone number, whether that number takes WhatsApp, country of residence, your time zone, the consultation type you choose, how you want to meet, and anything you write in the notes field.
Date of birth by month and year, citizenship, current country and immigration status, permit expiry dates, marital status, family details, full education history including credential assessments, full employment history, language test results, previous immigration refusals and any previous representation, and what you want to achieve.
Name, email address, telephone number if given, the subject you select, and your message.
Business name, industry, province, contact name, email address, telephone number, approximate number of foreign workers, and what you need help with.
Everything required to prepare and file your application, including identity documents, civil status documents, employment records, and correspondence with government departments.
The employer submits information about their foreign workers: names, occupations, work locations, permit types and permit expiry dates.
Our web server records IP addresses, browser type and pages requested, as web servers do. We do not use advertising or analytics cookies. The only cookie we set is a session cookie on the administration area, used solely to keep Isha Kapoor signed in.
Consultation payments are processed by Stripe. You enter your card details on Stripe's own payment page, not on ours. We never receive, see or store your card number. We receive confirmation that payment succeeded, the amount, and a reference.
Stripe processes this information in the United States and is subject to United States law.
We collect personal information only for these purposes:
We do not sell personal information. We do not share it for marketing. We do not use it to train or develop any product.
By booking a consultation, sending an enquiry or submitting the assessment form, you consent to our collecting and using that information for the purposes above.
The pre consultation assessment is optional. Your consultation goes ahead whether or not you complete it.
You may withdraw consent at any time by writing to info@ikic.ca. Where withdrawal prevents us from continuing to act for you, we will tell you so before acting on it. Withdrawal does not apply to information we are required by law or by the College to retain.
Government. IRCC, ESDC, CBSA and provincial immigration authorities, as required to advance your application. This is the point of retaining us.
Service providers who process information on our behalf, only as necessary, and bound to protect it:
Your employer, or your employee. Where an employer retains us in relation to a named worker, information necessarily flows between us and both parties for that purpose.
Where the law requires it, including a court order, a search warrant, or a demand from the College exercising its regulatory powers.
We disclose to no one else without your consent.
Our website, database and email are hosted by GoDaddy in the United States. The IKIC Client Portal is hosted by Vercel in the United States. Payments are processed by Stripe in the United States.
While your information is in another country it is subject to that country's laws, and may be accessible to that country's courts, law enforcement and national security authorities.
We are telling you this because Canadian privacy law requires us to, and because you are entitled to know it before deciding to give us your information.
Client files. Retained for the period required by the College's record keeping requirements, and no longer than necessary afterwards.
Consultation bookings and assessments where you do not retain us. Kept for 90 days, then deleted.
Enquiries that do not become matters. Kept for 90 days, then deleted.
Payment records. Retained as long as required by the Income Tax Act and the Excise Tax Act.
TFW Control Center data. Retained while the employer is a client, and for the retention period afterwards, unless the employer directs deletion earlier and no legal obligation requires us to keep it.
No system is perfectly secure, and we do not claim otherwise. If a breach occurs that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.
You may:
Write to info@ikic.ca. We may need to verify your identity before releasing information about you, which is a protection for you rather than an obstacle.
There are narrow circumstances where the law requires us to refuse access, for example where releasing information would reveal personal information about someone else. If we refuse, we will tell you why and how to challenge it.
Complain to us first, at info@ikic.ca. We would rather fix it.
If we do not resolve it, you may take a privacy complaint to the federal or provincial privacy commissioner with jurisdiction over your matter.
Complaints about Isha Kapoor's professional conduct as a licensed consultant go to the College of Immigration and Citizenship Consultants.
Your employer gave us your information so that we can manage permit deadlines and compliance on their behalf. You are not our client, but this policy still applies to your information, and you may exercise every right in section 10 by writing to us directly.
Our services are directed at adults. Where an application involves a dependent child, we collect that child's information from a parent or guardian, who consents on their behalf.
We may update this policy. The effective date at the top always shows the current version. Material changes affecting how we use information you have already given us will be notified to you directly.
